Ensuring critical message delivery without manual work using a fast hackathon‑based project concept.

Istekki needed a solution for monitoring critical emails. They were looking for a system that immediately notifies if automated reports or incoming messages show anomalies. The goal was to minimise risks and reduce manual work.

“The prototype was implemented efficiently, and it enabled us to evaluate the solution’s functionality in practice.” – Juha Kurki, Lead Consultant, Istekki

Challenge: limited development resources, high requirements

Building a similar solution internally would have required significantly more time and diverted resources from other development priorities.

“Because internal development resources are limited, planning, implementing, and testing a comparable solution would likely have taken a considerable amount of time alongside other work. We estimated that completing the entire implementation and testing it ourselves could have taken several weeks or even longer.” Juha Kurki, Lead Consultant, Istekki

kood/Sisu’s execution: a functional and rapidly delivered prototype

There was no single correct or incorrect solution for the system, so kood/Sisu and Istekki chose a hackathon concept. This allowed the customer to quickly receive multiple prototype variations and approaches, from which they could select the most suitable one.

Several prototypes were rapidly developed for the customer during the 48‑hour hackathon.

“The prototype showed that incoming emails can be monitored reliably and anomalies can be detected quickly without manual supervision.”

Our solution included:

  • Automated monitoring of critical emails
  • Alerts when expected emails are not received on time
  • Ability to track multiple message threads simultaneously
  • A clear UI to monitor real‑time statusVisibility into the latest message timestamps
  • An AI assistant that analyses anomalies in incoming emails

Thanks to this setup, Istekki can now detect anomalies sooner and react before they affect service operations.

“This improves operational reliability and helps react to potential issues at an earlier stage.”

Benefits delivered: time savings, reliability, and reduced costs

The solution provided Istekki with concrete, measurable value.

“We expect the solution to reduce manual monitoring and the need to check email arrivals by hand. This saves a significant amount of work, especially in situations where the arrival of many messages must be monitored regularly.” – Juha Kurki, Lead Consultant, Istekki

Earlier anomaly detection also helps reduce risks:

“Potential issues can be identified earlier, which may reduce the impact and cost of disruptive situations.”

Talents provided various solutions for the challenge in a short time period.

Use in production: a reliable part of daily monitoring

The solution will be integrated into Istekki’s production environment as a key component of critical email monitoring.

“The solution is intended to be used in our production environment to monitor the arrival of critical emails.”

Features in practice:

  • Monitors predefined emails
  • Sends alerts if expected emails are missing
  • Ensures backend systems and automations can operate as intended
  • Provides a usable interface for monitoring
  • Uses AI to group messages from the same sender and analyze content for anomalies

Collaboration experience: quick, clear, and efficient

Istekki describes the collaboration positively:

“The collaboration went very well. Communication was clear and efficient, and responses were quick throughout the project.” – Juha Kurki, Lead Consultant, Istekki

kood/Sisu’s solution gives Istekki a reliable and automated way to monitor critical email arrivals. Fast prototyping, clear communication, and concrete benefits made the solution an important part of Istekki’s production environment.
